{"id":2885,"date":"2020-08-04T09:30:29","date_gmt":"2020-08-04T00:00:29","guid":{"rendered":"http:\/\/blogs.flinders.edu.au\/student-health-and-well-being\/?p=2885"},"modified":"2020-08-04T09:30:29","modified_gmt":"2020-08-04T00:00:29","slug":"develop-efficient-workflows","status":"publish","type":"post","link":"https:\/\/blogs.flinders.edu.au\/student-health-and-well-being\/2020\/08\/04\/develop-efficient-workflows\/","title":{"rendered":"Develop efficient workflows"},"content":{"rendered":"<p>&nbsp;<\/p>\n<p><span style=\"font-weight: 400\">A couple of weeks back I came to the conclusion that I simply had too many things to do and not enough time \ud83e\uddd1\u200d\ud83d\udcbc<\/span><\/p>\n<p><span style=\"font-weight: 400\">This is an experience I hear many describe, students included.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400\">My first reaction was to look at what I could remove from my life. However I hit the uncomfortable place of not wanting to stop any of the activities that I am currently doing but also knowing that if I didn\u2019t make changes that I would run the risk of <\/span><a href=\"https:\/\/www.helpguide.org\/articles\/stress\/burnout-prevention-and-recovery.htm\"><span style=\"font-weight: 400\">burning out<\/span><\/a><span style=\"font-weight: 400\">.\u00a0\u00a0<\/span><\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-2886\" src=\"http:\/\/blogs.flinders.edu.au\/student-health-and-well-being\/wp-content\/uploads\/sites\/71\/2020\/08\/43c4bfdd2960c03c84953ae76af503fc.jpeg\" alt=\"\" width=\"474\" height=\"266\" srcset=\"https:\/\/blogs.flinders.edu.au\/student-health-and-well-being\/wp-content\/uploads\/sites\/71\/2020\/08\/43c4bfdd2960c03c84953ae76af503fc.jpeg 474w, https:\/\/blogs.flinders.edu.au\/student-health-and-well-being\/wp-content\/uploads\/sites\/71\/2020\/08\/43c4bfdd2960c03c84953ae76af503fc-300x168.jpeg 300w\" sizes=\"auto, (max-width: 474px) 100vw, 474px\" \/><\/p>\n<p><span style=\"font-weight: 400\">So I started thinking more about my workflows &#8211; how I actually go about doing my work &#8211; and looked at whether I could improve those.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400\">In this post I\u2019ll talk about what I mean by \u2018workflows\u2019 and give a couple of examples of changes I have made to try and find more efficiencies in the way I work. I\u2019ll then invite you to look at your own workflows to see if you can make improvements.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400\">Wikipedia has a definition of <\/span><a href=\"https:\/\/en.wikipedia.org\/wiki\/Workflow\"><span style=\"font-weight: 400\">workflow <\/span><\/a><span style=\"font-weight: 400\">that might bore you to sleep, so I\u2019ll try my personal one which is a lot more basic.\u00a0\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400\">At an individual level, I think of a workflow as simply a routine or process that you follow related to your work. So you might have a workflow related to how you handle emails, a workflow for starting and finishing assignments, a workflow for preparing for exams.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400\">A workflow can be assessed in terms of its effectiveness and efficiency. Effectiveness is whether the workflow achieves what it is you want it to achieve. So an email workflow should help you stay on top of incoming emails.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400\">Efficiency is how effective a workflow is, once you take time into consideration. You might have an amazing workflow for handling emails, but if it takes you all day then it is not very efficient, as it uses up valuable time which is needed for other activities.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400\">Many of our workflows have been developed without much regard for effectiveness or efficiency. We do things \u2018that way\u2019 because we\u2019ve always done things \u2018that way\u2019.\u00a0\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400\">However, once you get to a point in your life where the demands on you are considerable or you simply want to get a lot done with the time you have, you\u2019ll have to start assessing your different workflows to see if you can find more effective and efficient ones.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400\">Let me give you a couple of examples from my own life to illustrate.\u00a0<\/span><\/p>\n<p>&nbsp;<\/p>\n<p><b>Combining email\/ calendar\/ tasks &#8211; time management<\/b><\/p>\n<p><span style=\"font-weight: 400\">I\u2019ve ended up with lots of email accounts. I also have quite a few calendars and a couple of places where I track my \u2018to-do\u2019 list \ud83d\udcc5. Trying to track them all in parallel was both time-consuming and stressful. However I stuck to my system because each calendar or to-do list had its own strengths. For example, I didn\u2019t want to give up Google Calendar because I really liked the format and features. I didn\u2019t want to give up Google Keep because it was a very clean list keeping system.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400\">Eventually it became clear that I needed to develop a single time management workflow, within a single app. I chose Outlook because it allows me to manage email, calendars and tasks all in the one spot. I can run it from both work and home computers and the mobile app isn\u2019t too bad either.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400\">There has been a learning curve in getting used to features in Outlook that I haven\u2019t used and some minor grief in giving up the visual style of Google Calendars that I prefer, but now I have a much shorter workflow (when working from my desktop) from when emails come in, to logging jobs and events on my calendar and building and managing a task list.\u00a0<\/span><\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-2887\" src=\"http:\/\/blogs.flinders.edu.au\/student-health-and-well-being\/wp-content\/uploads\/sites\/71\/2020\/08\/why-i-open-microsoft-outlook_o_1907107.jpg\" alt=\"\" width=\"640\" height=\"492\" srcset=\"https:\/\/blogs.flinders.edu.au\/student-health-and-well-being\/wp-content\/uploads\/sites\/71\/2020\/08\/why-i-open-microsoft-outlook_o_1907107.jpg 640w, https:\/\/blogs.flinders.edu.au\/student-health-and-well-being\/wp-content\/uploads\/sites\/71\/2020\/08\/why-i-open-microsoft-outlook_o_1907107-300x231.jpg 300w\" sizes=\"auto, (max-width: 640px) 100vw, 640px\" \/><\/p>\n<p><b>Posting content to multiple channels \u270d\ufe0f<\/b><\/p>\n<p><span style=\"font-weight: 400\">I manage a number of websites and co-manage a number of social media channels.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400\">Mentally it is exhausting thinking of what to put on all of them.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400\">However I realised recently that most of my websites and channels have a similar goal &#8211; to communicate wellbeing and productivity related information to other people.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400\">So I started composing articles and reflections and content in Google Docs and then deciding which of the sites\/channels that content could go on.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400\">It means you are only ever working on a single article at a time, but that article might end up providing the content for 4-5 different posts.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400\">For example, this article, in different forms will go on a few of my channels.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400\">This not only helps keep each of those channels constantly ticking over but it feels good to see content have multiple homes, and when you can associate positive \u2018feels\u2019 with productivity-related actions, you increase the likelihood of continuing with those actions.\u00a0<\/span><\/p>\n<p>&nbsp;<\/p>\n<p><b>What kinds of workflows do you have?<\/b><\/p>\n<p><span style=\"font-weight: 400\">Are there routines and habits that you follow in relation to how you study?<\/span><\/p>\n<p><span style=\"font-weight: 400\">If so, can any of them be refined? Perhaps you spend too much time reading content, but not taking notes. Perhaps you take lots of notes, but don\u2019t include any self-testing in your study routine.\u00a0\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400\">If you don\u2019t have any clear study routines, might this be a good opportunity to develop some workflows?<\/span><\/p>\n<p><span style=\"font-weight: 400\">One that comes to mind would be a workflow at the beginning of Semester where you identify all your assignments and quiz due dates and put them in your calendar. You then set up reminders 2-4 weeks before those dates to draw your attention to upcoming work.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400\">Another workflow might be related to how you handle readings and assignments. You could develop a workflow like:<\/span><\/p>\n<p><em><span style=\"font-weight: 400\">Identify reading \u2192 read once \u2192 write overview \u2192 read second time \u2192 make specific notes\/flash cards \u2192 test self 1 \u2192 let a couple of days elapse \u2192 test self 2<\/span><\/em><\/p>\n<p><span style=\"font-weight: 400\">I don\u2019t present that workflow as an instruction of what you should do. Instead I present it as an example of what it looks like to think about study in terms of workflows. You can develop your own, based on what you know about <\/span><a href=\"https:\/\/blogs.flinders.edu.au\/student-health-and-well-being\/2020\/03\/10\/the-study-and-exam-preparation-strategies-that-successful-students-use\/\"><span style=\"font-weight: 400\">good study strategies<\/span><\/a><span style=\"font-weight: 400\">.\u00a0\u00a0\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400\">\u00a0\u00a0<\/span><\/p>\n<p><b>My invitation to you<\/b><\/p>\n<p><span style=\"font-weight: 400\">Try developing a new workflow today.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400\">Even if it is just a really basic one like:<\/span><\/p>\n<p><span style=\"font-weight: 400\">Make cup of tea \u2192 sit down at desk \u2192 open calendar \u2192 set 2 tasks for today \u2192 get started<\/span><\/p>\n<p><span style=\"font-weight: 400\">You don\u2019t need to get them perfect the first time around.
