Improved casual pay process is coming

Changes and improvements to the scheduling and payment process of casual academic employees will be introduced in coming weeks.

The change will introduce a new system known as Casual Academic Scheduling and Timesheets (CAST) and will replace FlindersPro and cover the entire schedule to payment process for casual academic employees.

As part of the change, several steps will be required to complete the following key tasks in CAST:

  1. Internal staff will create work schedules for casual academics.
  2. Casual academics will receive their work schedule via email (to accept or decline).
  3. Casual academics will receive a pre-populated timesheet in each pay period where they are scheduled to work.
  4. Casual academics will then be required to submit the timesheet noting any variations in actual hours worked compared to their schedule.
  5. Topic Coordinators or Teaching Program Directors (the position varies between Colleges) will be required to approve casual academic timesheets when there are variations from the schedule.

The change will start on Thursday 8 September 2022, with the first pay period in the new system ending on Friday 16 September 2022. Casual academics will be required to submit their timesheets for this pay period by Thursday 15 September 2022 for approval.

To support this transition, more communications will be sent before the system goes live, and will include support information and learning materials such as a step-by-step guide on how to submit a timesheet in the new system. These resources will be available on a dedicated webpage which will be linked in upcoming communications.

There will also be dedicated support people and processes in place from go live to help all those involved in this change.
