Digital Business Services Update – November 2018

There has been a lot of activity in Digital Business Services recently and great achievements have been made.

My Worklife was approved by council and the contract with Workday to proceed with our new HCM system has been signed. The project team are now gearing up and progressing full steam ahead.

The Business Improvement team has been ‘kicking a number of goals’ with the following projects being successfully completed; Requisite Waiver; Credit Transfer; Work Integration Learning review and compliance; Short Course review; Robotic Process Automation PoC, which is now moving in to full implementation mode; Boomi Forms PoC.

The CiAnywhere TechnologyOne Student and Finance systems migration to the cloud was completed after 13 months of hard work by the project team. This was an excellent outcome at the end of a long and sometimes difficult road.

The Web Transformation team has implemented a number of releases this year, including new course pages, updated staff profile pages and some research pages. Staff Portal implemented its first release and there will be new functionality and improvements announced regularly over the next few months. Both of these teams are also working hard to either decommission or move critical legacy content to the new CMS by the end of the year.

The Business Systems team has been busy with a range of CRM projects and improvement initiatives, both with the Student CRM and Alumni/donations CRM. They have been decommissioning a number of legacy systems, taking on support for new systems, and ensuring that our existing systems are maintained and supported… this is despite having staff regularly pulled out of the team to assist with projects or other major initiatives.

People and Culture (P&C) Systems has been balancing their day-to-day operational work with a number of projects, both completed and current. These projects include Ascender Upgrade, Electronic Personnel Records, Single Touch Payroll and HR Reporting to OBI.

Finance Systems has been involved in multiple initiatives alongside their operational duties, including CIAnywhere cloud migration and Finance Systems Access forms.

The testing and integration teams have been busy across the DBS project portfolio. The integration team is also active in the initiation of the Integration Centre of Excellence and ongoing continuous improvements around the development of the integration capability.

The Workload Modelling and Performance team has also been powering forward and are now in the process of rolling out a trial of the workload model across two Colleges.

The Records team in HR Systems has been working hard on the HP Records Manager (HPRM) to Content Manager (CM) upgrade. There is a University-wide user group of 450+ and they are conducting training internally. The upgrade will ensure that electronic record keeping can continue over the next 3 years, and will enable CM users to upgrade to the Office 2016/365 platform. The team will roll out a number of new functionalities and integrations in 2019 and 2020.

Given the size of our team, we have a steady stream of people coming and going. We recently welcomed the following new team members:
