PPM Strategy Update: Smartsheet Pilot

As we move into late-February, the Project Portfolio Management Strategy is set to test a range of assumptions via a focussed pilot. Information and Digital Services (IDS) and Properties, Facilities and Development (PFD) are participating in the short six week pilot to test the use of Smartsheet as a tool to capture project progress. Five projects and their project managers across PFD and IDS have volunteered for the pilot, which will see them use Smartsheet to report project status.

The pilot run will run from 13 February until 27 March (although this can be extended for another two weeks if more project delivery data is needed).

The purpose of the pilot is to:

  1. Confirm existing assumptions about what project delivery data needs to be captured to enable better governance.
  2. Collect data from a small sample of IDS and PFD projects so that we can develop prototype dashboards for various audiences that will enable better governance.
  3. Identify and explore technical requirements for a strategic project portfolio management tool at Flinders University.

Smartsheet has been selected as the tool for the pilot due to its rich feature set and the ease with which it can be configured to support our project status reporting and dashboard needs. During the pilot, participating project managers will be asked to enter data, which will include key project information such as: actual spend; forecast (Estimate to Complete); issues; risks; and at least one milestone (including approved and expected milestone date), to produce a standardised project status report.

Following the pilot, the project team will be making a set of recommendations concerning changes to the way IDS and PFD report project delivery status and how this information is presented and consumed by senior managers and governance groups via dashboards.
