Financial and Supervisor Delegations during leave

With some staff taking the opportunity to take leave over the University closure period, it is timely to remind budget owners and supervisors to ensure they enable their delegations in Workday during extended absences.

This will allow another person in the relevant supervisory organisation the ability to initiate and approve business processes on behalf of the supervisor, so they are not left during periods of leave.  If delegations are not turned on, business processes such as leave requests, and approvals for casual timesheets (if applicable) may not be processed, which in turn may cause additional work for payroll.

Managing Delegations

To manage both supervisory and financial delegations, there are two processes that need to be completed.  Delegations will need to be added in both Workday and Service one.

For assistance with the process of managing delegations in Workday, there is a Workday instruction guide that you can follow to enable this function.

So that any approvals are managed in a timely fashion in Service One, you will need to raise a Service One request by following these steps:

  1. Raise a service One Support Request CSM Service Catalog – Service One (service-now.com) (this can also be raised on your behalf)
  2. Select I need to create or modify access from the drop-down box.
  3. In the free text field identify the delegate that will replace you and for the time required.

Note: for the duration of the delegation, the delegate will receive any tasks that would normally be directed to the supervisor.
