Flinders ‘Digital Workplace’

After many months of hard work, and the support of Client Services and the Digital Platform Operations teams, the Digital Workplace Project team formally launched the ‘Digital Workplace’ concept with the very first ‘Core’ tool, Trello.

The launch event was a great success and marks a key milestone for the project. If you missed the launch event, the video recording can be found here (29mins 15secs).

The Digital Workplace Project aspires to make life easier by introducing an integrated, simple and supported suite of daily productivity tools.

The Project aims are to:

  • Identify the smallest possible set of tools to meet the daily communication, collaboration and coordination requirements of staff across the University;
  • Make sure that the right learning opportunities and support structures are in place for these tools, and that the tools work with each other, rather than against;
  • Connect people and teams no matter where they are located, or what device they are using;
  • Drive culture change around the use of technology – not only understanding the tools on offer, but understanding how to use the tools to best effect in a world of physically distributed teams.

Our approach…

To achieve these aims the Project team have developed an evaluation model to ensure only the right tools are supported and adopted across the University.

The evaluation model defines three concentric circles: Emerging, Reviewing and Core. Emerging tools will be selected for evaluation and moved into Reviewing, where they will be evaluated against a range of User Stories to determine whether they should be promoted into the Core. Only tools that meet the evaluation criteria and have the potential to transform the way staff communicate, collaborate or coordinate will be moved into ‘Core Digital Workplace toolset’.

Once a tool is promoted into the ‘Core Digital Workplace toolset’ the Project will work with staff from across the University to drive adoption and ensure the tools are used effectively to improve communication, collaboration and coordination.

For the Project team, the Trello launch is just the first major milestone. The team will now look at evaluating other tools to determine if they are suitable for promotion into the ‘Core Digital Workplace toolset’.


This is where YOU, the rest of IDS come in…

The evaluation process will need to look at how well the tools meet our customers’ User Stories. But it will also need to look at platform and application integration, supportability, security and licensing among other technical considerations. This means we’ll be engaging with many teams across IDS in the evaluation process.

The success of the Trello launch has been due to a collaborative effort between IDS staff, and the many teams in the wider Flinders community that have taken up Trello and participated in our Trello pilot and evaluation. IDS has always been a supportive environment, where people go above and beyond to help the customer and we’ve seen plenty of this in recent months with everybody who has helped make the launch event a success and got behind the ‘Digital Workplace’ concept.
