To ensure minimal impact on employee payments and P&C processing during the university closure period, key P&C processing dates are provided below. Given there is a pay period that falls on December 29, many P&C processes that impact payment need to be actioned in advance of when they normally would need to, hence we are providing this early notice to accommodate any planning requirements.

In addition, recruitment activities will cease over the university closure period and timeframes have been identified below to allow for any recruitment activities leading up to the closure.

November 2023

• Fri 17: Advertising cut off for positions to be open for 4 weeks (Labor Market Testing). Must have VMRG approved no later than Wednesday 15 November.

December 2023

• Fri 1: Advertising cut off for positions to be open for 2 weeks. Must have VMRG approved by Wednesday 29 November.
• Mon 4: Casual professional and academic timesheets must be submitted and approved to meet pay run for 15 December
• Thu 7: Fixed Term Extensions must be approved by VMRG for contracts ending up to 1 January 2024.
• Mon 11:
  • Last day to submit Recommendation to Appoint to have a contract issued for start date up to 2nd January 2024 (Note a start date cannot be between 22 December 2023 and 1 January 2024 as University is closed)
  • Fraction and higher duties requests must be fully approved to actioned and paid over the university closure period.
• Wed 13: All contracts (including reengagements) must be accepted for payment over the university closure period.
• Thu 14: Casual professional and academic timesheets must be submitted and approved to meet pay run for 29 December.
• Mon 18: Advertising is Closed from this date until 2 January 2024. This is the last date for panels to receive applications for open jobs.
• Fri 22: University closes 1 pm

January 2024

• Tue 2:
  • University Reopens
  • All services open as normal/Advertising recommences.
